Go to https://portal.civiq.me, click Create an Account for Free, and enter your community details. Add your governing body information and choose the Free Trial option. Once submitted, your community portal will be instantly created, and you can start adding members, units, and staff.
Admins can import bulk resident data using the Import Units button under Structures menu in the Admin Portal. Simply download the sample Excel template, fill in unit details, and upload it back to CiviQ — all records will be automatically created and linked to their respective units.
CiviQ has three main user roles:
Each role has specific permissions designed to streamline operations and maintain data security.
Admins or primary residents can add family members using the CiviQ - Members mobile app. Each unit can have multiple users (e.g., owner, spouse, children, or tenants). Simply open My Users from More Nav option, enter their details, and create the user.
Residents can pre-authorize visitors through the app for a long period of time. A unique QR Code Gate Pass is generated and sent to the visitor via whatsapp or email, which the security guard scans upon arrival to allow seamless, secure entry. Every entry and exit is logged automatically in real time.
Under the Fund & Collections module, admins can create multiple maintenance collection types. You can define rate slabs based on unit size, block, or type — for example, ₹2 per sq. ft. for 2BHK and ₹3 per sq. ft. for 3BHK units. Each collection links automatically to the Maintenance Fund.
Residents can make payments through the CiviQ - Members mobile app using integrated online gateways (UPI, credit/debit cards, or net banking). Offline payment can be recorded manually by admin on Admin Portal. Once paid, receipts are automatically generated and linked to the respective Fund Account for transparent accounting.
Absolutely. CiviQ uses cloud-based encryption and secure access protocols to protect all resident and financial data. Only authorized users can access community information, and data is never shared or sold to third parties.
Basic community-level customization is available — including your society's name, logo, and contact details within the portal and app. Full-scale white-label branding options can be discussed with the CiviQ support team.
Admins can access the Reports module to generate real-time analytics on collections, expenses, complaints, gate entries, and member activities. Reports can be exported in PDF or Excel format for committee reviews or audits.
